¶ Company Management - New Company
The new company form is used to create a record for a company or organisation that participates in the reservation process. The form is divided into two tabs:
- Main - basic details, reservation settings and company roles
- Location - geographic position on the map

¶ Basic information
Company *
Full name of the company. Required field.
Short name
An optional abbreviated version of the company name. Displayed where the full name does not fit - for example on LCD display panels at entry gates or loading docks.
Company number (ERP)
The company identifier in the external ERP system. Used to match records during data import and synchronisation.
Street, City, Postal code, Country
Postal address of the company.
Email
Contact email address of the company.
Phone
Contact phone number including the country dialling code.
Company ID / VAT number
Business registration number and VAT identification number of the company.
Internal name / External name
Optional alternative names. The internal name is used in internal system views and reports; the external name is used in views facing clients or partners.
¶ Reservation settings
All users follow reservations
When checked, all users belonging to this company are automatically subscribed as watchers on reservations. The feature is triggered when a member of this company creates a reservation or is its initiator - in that case the system adds all users of the company as watchers. Watchers receive email notifications about reservation changes. If the company only appears on a reservation as a carrier, supplier or recipient but none of its members created the reservation, the flag has no effect.
Company users can edit each other's reservations
Allows users of the same company to edit reservations created by other users in the same company. Enabled by default.
Set custom reservation length
Overrides the default duration calculation and sets a fixed duration for all reservations from this company. When checked, a duration selector appears (15-600 minutes).
Reservation length calculation factor *
A multiplier applied to the calculated reservation length. The default value of 1 leaves the duration unchanged. A value of 2 doubles every reservation's duration - useful for companies that consistently need more time (for example complex unloading operations).
Reservations from this company do not require approval
When checked, reservations created by users from this company are automatically approved without requiring manual approval from an administrator.
Reservations from this company require IPP approval
Enables a second, separate approval workflow (IPP) for reservations from this company. IPP approval operates independently of standard approval - it has its own queue, permissions and email notifications.
Parent company
Selects a parent company in the hierarchy. A company can either be a child (has a parent) or a parent (has children) - both roles simultaneously are not possible.
¶ Company roles
Determine in which roles the company is offered on the reservation form. A company can have any combination of roles - by default all roles are enabled.
Company is a carrier
The company appears in the Carrier field on the reservation form. The carrier is the party responsible for transport (the vehicle).
Company is a supplier
The company appears in the Supplier field on the reservation form. The supplier is the party delivering the goods.
Company is a customer
The company appears in the Customer field on the reservation form.
Company is a recipient
The company appears in the Recipient field on the reservation form. The recipient is the party receiving the delivery.
¶ Location tab
The Location tab allows assigning geographic coordinates to the company on a map.
Search address
Search field for finding a location on the map by address. After searching or clicking on the map, the latitude and longitude are filled in automatically.
Latitude / Longitude
GPS coordinates of the company's location. Can be entered manually or set by clicking on the map. Coordinates are used for shipment tracking and tracing features.
