¶ Reservation - Edit reservation
The form for editing an existing reservation. It consists of six tabs - Reservation, Attachments, Comments, Notifications history, Followers and History of changes - and a milestone panel in the right column showing the progress of the reservation.
Form configurability
Many form fields can be enabled, hidden or set as required in System Settings - Reservation Forms. Settings can be further customised per branch office - each branch can override the global configuration for individual fields. Custom fields (text, boolean, dropdown) can also be added to the form - see the Custom fields section below.
¶ Form tabs
Reservation
Main tab with all reservation fields, delivery sections and the milestone panel.
Attachments
Manage files attached to the reservation. The number of attachments is shown as a badge on the tab.
Comments
Internal comments on the reservation. The number of comments is shown as a badge on the tab.
Notifications history
Log of all sent notifications (email, SMS) for this reservation. The number of notifications is shown as a badge on the tab.
Followers
List of users following this reservation. Followers receive notifications about changes.
History of changes
Audit records of all edits to the reservation - showing who changed what and when.
Unfollow
Green button to the right of the tabs. Shown when the currently logged-in user is following this reservation. Clicking it stops following and disables change notifications.
¶ Basic fields (left column)
Reservation number
Automatically assigned reservation number. Read-only field.
Initiator
User or company creating or responsible for the reservation. Dropdown list.
Gate (Resource)
Resource (dock, loading bay, area) where the reservation will take place. Dropdown of resources at the current branch.
Requested action
Type of operation performed within the reservation (e.g. Loading, Unloading). Read-only field - the value is set in the delivery lines.
Reservation date and time
Start date and time of the reservation. The planned end time is also shown (e.g. "until 09:08 h.").
Custom reservation duration
When checked, a field appears for entering a custom duration in minutes instead of the default slot length.
Will be added later
Marks the reservation as incomplete - required fields do not need to be filled in. Reservations with this flag are visually distinguished in the overview.
Vehicle type
Vehicle category from the system register (e.g. Van 3.5t). Determines weight, dimensions and handling time. Dropdown list.
Driver's full name
Driver's name. The dropdown lets you select from previously used drivers.
Driver's phone number
Driver's phone number with country prefix selector. Used for SMS notifications.
Truck plate
Vehicle registration plate. Used for identification on arrival and integration with the camera system.
¶ Milestone panel (right column)
The panel displays an overview of key moments in the reservation's progress. Each milestone shows the date and time it was reached, or a dash if it has not occurred yet. The displayed milestones are configurable.
Arrival to gate / Departure from gate
Times of vehicle arrival at and departure from the premises.
Processing started / Processing finished
Times when loading or unloading started and finished.
Quality control / Customs declaration
Optional milestones for inspection processes.
Customs clearance / IC Transactions
Optional milestones for customs and internal processes.
Created on / Updated on
Date and time when the reservation was created and last modified.
Created by / Updated by
User who created the reservation and user who last modified it. The link opens the user's detail.
¶ Additional fields and recurrence (right column)
Additional notes
Free-text area for internal notes. Not included in notifications sent to the carrier.
Urgent delivery
Marks the reservation as urgent. The block is visually highlighted in the reservation overview.
Carrier arrived without reservation
Marks a walk-in arrival - a vehicle that appeared at the gate without a prior reservation.
Repeat / End of repeat
Configures a recurring series (daily, weekly, etc.) and its end date. Default is None.
¶ Delivery
Each reservation contains one or more Delivery sections. Add a new section using the + button below the last row.
The Delivery section is highly configurable: it can be made collapsible (shown collapsed or expanded by default), the ability to add multiple deliveries can be disabled, and each field (Supplier, Customer, Recipient, Transport provider, Order number, Place of loading, Shipment number, Invoice number…) can be individually shown, hidden or set as required. Settings are in System Settings - Reservation Forms.
Supplier
Sending party of the shipment.
Customer
Party that placed the transport order.
Recipient
Party receiving the shipment.
Transport provider
Haulage company transporting the shipment.
Additional notes
Notes specific to this delivery (separate from the reservation-level notes).
Delivery lines
Each line describes one group of goods: Requested action (Loading / Unloading), Description (free text), Quantity, Unit (pallet type), Stackability. Add lines with the + button.
¶ Custom fields
The reservation form supports custom fields that an administrator can name and enable in System Settings - Reservation Custom Fields. Fields appear in the relevant part of the form.
Reservation custom fields
Up to 15 text fields, 3 boolean toggles (yes/no) and 3 dropdown lists at reservation level. Each field has its own name and can be set as required. One field can optionally be displayed as a warehouse worker selector.
Delivery custom fields
Up to 5 text fields at the level of each Delivery section.
Delivery line custom fields
Up to 3 text fields at the level of each delivery line row.
¶ Attachments tab
Reservation attachment types
Dropdown for selecting the document category (CMR, invoice, photo, etc.). Categories are configured in Attachment type management.
File upload
Files can be uploaded by dragging into the highlighted area, clicking Choose file, or using the Take Photo button (available on mobile devices).
Group by
Groups the displayed attachments by a selected attribute.
Attachment list
Table of uploaded files with columns: Name, Type, File size, Created on, Created by.
¶ Comments tab
Comment thread
Chronologically ordered internal comments on the reservation, showing the author and timestamp.
Add a comment / Send
Text field for entering a new comment. Submitted using the Send button.
¶ Notifications history tab
The table lists all sent notifications for this reservation with columns: Type (Email, SMS), Created, Sent, Subject, Sender, Recipients, Error (if any), Attachments. Clicking the arrow on the left expands the message detail. Records with a delivery error are marked with a red icon.
¶ Followers tab
Followers list
List of users who are following this reservation and receive notifications about its changes.
Add follower
Allows adding another user as a follower of the reservation.
¶ History of changes tab
Audit log of all edits to the reservation. Each record shows which user made the change, which fields were modified (original and new value), and when the change occurred.
